REGARDING ROOM BOOKINGS

 

UPDATE (9) – 16 JUNE 2020

We hope that you and your loved ones arewell during these times.

 

 

 

  We recently communicated some of the operational work that is being carried out by the Trust in relation to our resumption of our building being open for room bookings.

 

 

 

As it is very important to us that we respond to your needs, we would be grateful if you would complete a short survey that we will be sending out in the next week to help us learn about your plans of returning to physical space and the measures that are important to you to feel safe to do so.

A new online room booking system is a key piece of work that we want to complete before returning to offering physical space.  Our current system has a number of limitations that do not allow us to function as efficiently as possible, and the building closure has allowed us to see with more clarity the impact of a system that is not designed to manage room hires.

 

 

 

We aim to have the new system tested, operational and live by September, and will communicate all the information and guidance for our community in plenty of time for the launch.

 

 

 

This project has also allowed us to review the conditions of renting space in our building.  The Psychosynthesis Trust is a not-for-profit charitable organisation, and our core work is training people to be counsellors and therapists.  The space we offer in our building must always support those charitable aims and help facilitate the work that we do.  We will be looking to align the new system to this, along with several other beneficial changes:

 

 

 

  • Reducing the booking lead time (currently 90 days)
  • Reducing the advance notice period of standing order bookings (currently minimum 6 months)
  • Introducing “Rolling Orders" to help more of our community secure regular spaces
  • Prioritise bookings for our students, trainers and graduates

 

 

 

As we continue to build and test the system it is important that we do not have any overlap in bookings, and we have therefore blocked out any post-September bookings on the current system. 

 

 

 

We will launch our new portal in plenty of time for our return to physical space, issue a new Room Booking Agreement document, and release full guidance on the new system and the new priority groupings in due course. We will be happy to answer any questions you may have through email or at our Tuesday #TrustCuppa.

REGARDING CORONAVIRUS
UPDATE (8) – 1 JUNE 2020
To the Psychosynthesis Trust Community

We hope that you and your loved ones are well during these times.

With the news that the Government are planning to lift certain restrictions in the next two weeks, we felt it important to update all our community on some of the operational planning that the Trust is working on.

We currently feel that there are still too many risks to opening our building. Whilst we recognise the need for some to return to face-to-face therapy from a financial perspective, we believe there are many challenges to overcome in keeping all our communities safe in our building, and this is critical in our balancing of the decisions we make. At this stage we plan to keep our building closed whilst we spend this month working on a resumption and reopening plan, whilst keeping an eye on the rate of infection in London as other businesses return.

In the meantime, we have started working on a resumption and recovery plan for how to overcome those challenges in the following ways:

Working through the Government guidance documents including “Working safely during COVID-19 in offices and contact centres"

Working in collaboration with Team London Bridge and its member organisations in the “London Bridge Back to Business Working Group"

Inviting peer organisations that offer therapy space to hire in London to harvest and share peer learning regarding these challenges

Working on system changes that will help us manage social distancing within room booking conditions to mitigate risk to a low level that is reasonable and practical.

We have enjoyed hosting online social sessions as well as clinical sharing sessions. We want to continue providing opportunities to connect in a more consistent format. So, from Tuesday 2nd June onwards, we will host a weekly 3pm drop-in Zoom call for all our communities to connect socially to us and each other called #TrustCuppa. This framing as a social gathering holds the opportunity to pop in at any time during the hour to join the conversation, and likewise pop out at any point. We will continue to welcome your views and sharing of needs into the discussion.

UPDATE (7) – 3 APRIL 2020

Please read the message below from Jamie Joyes, our Finance and Operations Director

We hope that you are all safe and well

When we announced the closure of our building, I stated that we would remain closed until at least 6th April
2020. It has been apparent for some time that this needs to be extended, ever since the UK social distancing
measures have been strengthened to a partial lockdown.

Because of the unpredictability of the times we find ourselves in, it would be imprudent to set a new target
date for reopening, and thus regret to announce that our building in Tooley Street will remain closed until
further notice. We are actively monitoring the situation and following Government advice. We intend to
open the building as soon as it is safe to do so.

Of course, I will continue to update everybody as we receive further news or guidance.
I would like to thank our whole Community for being so supportive and understanding through times of
difficult decision making.

PLEASE DO NOT CANCEL ANY ROOM BOOKINGS
We will take care of this for you to allow us to track the ongoing cost of this closure.

REGARDING CORONAVIRUS

INFORMATION TO ROOM RENTERS (3) – 26 MARCH 2020

To the Psychosynthesis Trust Community

Please read the message below from Jamie Joyes, our Finance and Operations Director

 

I would like to update you all on the progress we are making for your room bookings.

 

All bookings between 18th March and 6th April are in the process of being cancelled from our administrative function and logged line-by-line on a database.  You will receive credit to your booking account for all these cancellations.  If you wish to discuss transferring that credit back to your bank account, and haven’t already done so, please email jjoyes@ptrust.org.uk

 

Please continue NOT to cancel rooms – we will continue to action this for you for as long as our building remains closed so that we can track all lost revenue for our records.

 

We are now able to start payment runs to those that have requested a bank transfer.  Thank you for your patience.  Being aware that most of our rental community are self-employed we have been working tirelessly in setting up new processes so those that require reimbursement will be waiting for the shortest period possible.

 

 We will be mapping the new processes for standing orders tomorrow and these refund payments will commence next week.  If you pay via a standing order it is now advisable to cancel that order through your bank.  Before we return to the Trust, we will recalculate those standing orders with any necessary amendments.

 

During our closure we will be testing a new room booking system that has been bespoke designed for the Trust that is more user friendly for you and will help us manage our services much more efficiently.  I will communicate the plans for this once we have tested the system.

INFORMATION TO ROOM RENTERS (2) – 18 MARCH 2020

You by now should have seen my statement that details the closure of the Trust building.  We have made every decision so far through a careful balancing of the duty of care that we hold, not only for the physical health of our community, but of the need for our students to learn and practice, our counsellors to work, and their clients to receive their important sessions.  Although we have set a date of closure up until at least 6th April, it is becoming increasingly likely that we will have to extend that timeframe.

 

We understand that we are asking people to do things that will interfere with their work and study lives in quite a significant way and resonate with the impact this having on people’s livelihoods.

In my most recent statement from 17 March, I urged you all not to cancel rooms yourselves.  We have greater administrative control over the room booking system in terms of refunds and can credit accounts and monitor cost in a more efficient way.

 

Some of you would have cancelled rooms prior to the release of that instruction, and for those that haven’t notified us of doing so, please can you email jjoyes@ptrust.org.uk with as much detail as possible.

 

I will now set out a Cancellation Policy that will apply for the duration of our building closure.  Any adjustments for reopening will be communicated at a time when we have more clarity.

1. FOR COUNSELLING BOOKINGS, WE WILL CREDIT THE BALANCE OF ANY BOOKINGS THAT HAVE BEEN CANCELLED SINCE 1ST MARCH 2020 BECAUSE OF THE OUTBREAK

 

2. WE WILL NOW CANCEL ALL BOOKINGS UP TO 5TH APRIL 2020 AND CREDIT THE ROOM BOOKING ACCOUNTS ACCORDINGLY. IF THAT TIMEFRAME EXTENDS THEN WE WILL CONTINUE TO CANCEL BOOKINGS ON YOUR BEHALF.

 

3. ON EACH CANCELLATION WE WILL SEND A MESSAGE THROUGH TO THE REGISTERED EMAIL ADDRESS CONFIRMING THE ACTION.

 

4. IF RECEIVING CREDIT TO YOUR ACCOUNT STILL LEAVES YOU IN A VULNERABLE POSITION FINANCIALLY THEN PLEASE EMAIL enquiries@ptrust.org.uk TO REQUEST A BANK TRANSFER REFUND.

 

5. PLEASE PROVIDE AS MUCH DETAIL AS POSSIBLE IN YOUR EMAIL REGARDING THE BOOKINGS YOU ARE REFERENCING, AND BY ADDING YOUR BANK ACCOUNT AND SORT CODE WE CAN MAKE A PAYMENT WITHIN 14 DAYS.
 
6. A SEPARATE COMMUNICATION WILL BE ISSUED TO OUR STANDING ORDER COMMUNITY LATER TODAY DIRECTLY TO THE EMAIL ADDRESS WE HAVE ON FILE

The Leadership Team are working around the clock to make the correct decisions for our whole community of Staff, Trainers, Counsellors, Students, Room Renters and their Clients.

 

I am working on the finer detail of a temporary change to the room booking cancellation policy with the intention of supporting our Community in the best possible way.

UPDATE (5) – 17 MARCH 2020

On 16th March, the Prime Minister held a press conference on novel coronavirus, explaining new measures and advice for the UK, and details of the official transcript can be accessed here:

The Trust Leadership Team and Board of Trustees have discussed the ongoing issue on a daily basis, always tuning into the advice of the Government and its scientific and health advisors whilst aiming to balance duty of care for not only the physical health of our community, but of the need for our students to learn, counsellors to work, and their clients to receive their important sessions.

The latest government advice has taken our considerations to a new level, especially considering the statement signifying that those in London should be especially cautious.

We feel we now need to take our own self-autonomous measures to protect and care for ourselves and for others, and with this in mind have decided on the following:

  • THE TRUST BUILDING WILL BE CLOSE UNTIL AS OF 10PM TONIGHT (TUESDAY 17TH MARCH 2020) UNTIL AT LEAST 6TH APRIL 2020.
  • ALL OF OUR TRAINING PROGRAMMES WILL BE DELIVERED USING VIRTUAL PLATFORMS THAT HAVE BEEN PILOT TESTED OVER THE PAST FEW DAYS.
  • NONE OF OUR STAFF HAVE REPORTED ANY SYMPTOMS OF CORONAVIRUS, HOWEVER THEY WILL BEGIN WORKING FROM HOME AS OF TODAY AS ADVISED BY THE GOVERNMENT.  A SKELETON CREW WILL BE IN PLACE TODAY.
  • WE CONTINUE TO WORK ON OPERATIONAL MEASURES SO WE CAN CONTINUE TO ANSWER INCOMING ENQUIRIES BY TELEPHONE AND EMAIL
  • OUR CLEANING AND CARETAKING TEAM, WHO HAVE ALREADY BEEN TARGETTING HIGH-TRAFFIC AND TOUCHPOINT AREAS, WILL DEEP CLEAN THE BUILDING ONCE IT IS CLOSED.

 

 

We understand that we are asking people to do things that will interfere with their work and study lives in quite a significant way.  

Separate and targeted information will continue to be issued to trainers and students regarding the continuity of Programmes.
